Payment and refund policy

How you pay for Pulvent services, what happens if you cancel, and when you can get your money back. We wrote it in plain language so you know where you stand before you sign anything.
Last updated: 5 November 2026

The short version

  • You always get a written quote or invoice before you pay. No hidden fees.
  • Prices exclude VAT and other taxes, which are added on the invoice.
  • Projects are paid in stages, linked to work you can see.
  • Monthly services can be cancelled with 30 days’ notice.
  • New business email customers get 14 days to change their mind.
  • Refunds go back to the way you paid, within 14 business days of approval.

01Who this policy covers

This policy applies to every service you buy from Pulvent (“we”, “us”), the company that runs pulvent.com, from software projects to monthly IT, marketing and business email plans. If your signed proposal or contract says something different, the signed document applies to that point.

02Prices, currency and taxes

  • Project prices are set in a written quote that lists the scope, the stages and the total.
  • Business email prices on this website are list prices in US dollars. Customers in Egypt are invoiced in Egyptian pounds at the price stated on the quote or invoice.
  • All prices exclude value added tax (VAT) and any other tax required by law. These are shown as separate lines on your invoice.
  • A quote is valid for 30 days unless it states another period.

03How you can pay

We do not take card payments on this website yet. You pay against an invoice we send you, using one of the methods listed on that invoice, such as bank transfer. We will never ask for card details by email, phone or WhatsApp.
Please include the invoice number in your transfer reference. Bank and transfer fees charged by your bank are paid by you.

04When payment is due

  • Projects (software, websites, apps, ERP and design): an advance payment before work starts, then the remaining payments at the stages agreed in the quote, usually on delivery of each stage.
  • Monthly services (managed IT, marketing retainers, support plans): paid in advance at the start of each month.
  • Business email: paid in advance for the period you choose, monthly or yearly.
  • Invoices are due within 7 days of the invoice date unless the invoice states otherwise.

05Late payment

If an invoice is unpaid when due, we send a reminder. If it is still unpaid 14 days after the due date, we may pause work or suspend the service until it is paid, after telling you in writing. We restore the service as soon as payment arrives. Pausing does not delete your data: business email data is kept for at least 30 days after suspension.

06Cancelling a service

  • Projects: you can stop a project at any time by telling us in writing. You pay for the work done up to that day, and we hand over everything completed and paid for.
  • Monthly services: cancel with 30 days’ written notice. The service continues, and is billed, until the notice ends.
  • Business email: cancel at any time. The service runs until the end of the period you have paid for and is not renewed. You can export your mail before the end date.

07When you can get a refund

  • Business email, first 14 days: if you are a new customer and cancel within 14 days of activation, we refund the full plan price you paid.
  • Business email, unused domain: if your domain was never connected to our service, you can cancel and get a full refund at any time in the first paid period.
  • Yearly email plans after 14 days: we refund the unused full months, less any discount you received for paying yearly.
  • Project advance: if you cancel before any work has started, we refund the advance in full. Once work has started, the advance pays for the work already done, and anything above that is refunded.
  • If we cannot deliver: if a delivered stage does not match the agreed scope and we do not fix it within 14 days of your written notice, you can ask for a refund of the amount paid for that stage.
  • Payment by mistake: if you paid twice or paid the wrong amount, we refund the difference in full.

08What we cannot refund

  • Work that was delivered and accepted, or stages you approved.
  • Costs paid to third parties for you, such as domain registration, software licences (for example Microsoft 365), app store accounts, hosting bought for you, and advertising budgets paid to Google, Meta or other platforms.
  • Monthly services for months that have already started.
  • Consultation or training sessions that have taken place.

09How to ask for a refund

  1. Email contact@pulvent.com from the address on your account, with your invoice number and the reason.
  2. We confirm we have it within 2 business days and give you our decision within 5 business days.
  3. Approved refunds are paid within 14 business days, back to the account or method you paid from.
We refund the amount you paid in the currency you paid it in. We cannot refund fees charged by your bank or exchange-rate differences.

10Questions and disputes

If something is wrong with a charge, please contact us first. Most issues are solved in a single call. This policy is governed by the laws of the Arab Republic of Egypt. If you are a consumer, nothing in it reduces the rights that consumer protection law gives you.

11Changes to this policy

We may update this policy. The version on this page on the day you sign a quote or start a plan is the one that applies to it. We tell active customers by email at least 30 days before a change that affects them.
